Pillar C — CRM, Automation & Business Systems
Your next customer probably already contacted you — and nobody followed up
The problem: enquiries arrive from the website, WhatsApp, Instagram, and phone calls, and live in five different places. Nobody owns follow-up, quotes go out late or never, and the owner discovers lost deals weeks later. This is not a sales problem. It's a systems problem — and it's fixable.
What we deliver
- CRM setup, configuration, and customisation on a platform in your own account.
- Lead management pipelines with clear stages, owners, and follow-up timing.
- Automated lead capture: website forms, spreadsheets, and inboxes flowing into one pipeline.
- Follow-up workflows where the first reply draft is always human-approved — automation prepares, people send.
- Integrations between websites, forms, CRM, spreadsheets, email, and supported APIs.
- A written usage estimate before build: what your automation will consume each month, in plain numbers.
Four delivery modes — honestly distinguished
| No-code / low-code automation | Built on platform free tiers where they genuinely fit. Free tiers have hard ceilings (for example, Make's free plan allows 1,000 credits/month and 2 active scenarios; Zapier's free plan allows 100 tasks/month and two-step Zaps). We size your flow against the ceiling in writing — free tiers are not unlimited infrastructure. |
|---|---|
| CRM configuration | We configure an existing CRM (including free tiers) to your pipeline. The account, data, and any later paid upgrade are yours. |
| Custom integrations | Small, documented-API integrations, quoted only after a signed scope document — the price is fixed in that document before any payment. |
| Fully custom CRM development | Not currently offered as a standard service. For most small businesses a configured CRM covers the real need at a fraction of the cost and risk. |
Who it's for
Small teams (roughly 2–20 people) whose enquiry volume has outgrown memory and sticky notes: service businesses, clinics, agencies, training providers, and sales-led startups.
Scope & limitations
| Included | One agreed pipeline or workflow per engagement, configuration in your account, a training session, and two weeks of fix support for the delivered flow. |
|---|---|
| Not included | Paid platform subscriptions (always in your name, at your cost, only if you choose them), data entry of historical records beyond an agreed sample, and enterprise-grade custom systems. |
| Your inputs | Access to the accounts involved, your current follow-up process described honestly, and one decision-maker for stage definitions. |

The specifications are published, not promised: a seven-stage pipeline specification, a lead-capture workflow with a human approval step, an appointment-reminders flow, and the integration pattern we scope before any build.
Questions, answered plainly
Which CRM do you set up?
The one that fits your team's size and budget — including free tiers — always in your own account. We configure the pipeline, stages, and follow-up rules; we never hold your system in our accounts or resell you licences.
Is a free tier of Make or Zapier enough?
Sometimes — and we tell you in writing before building. Make's free plan allows 1,000 credits a month and two active scenarios; Zapier's free plan allows 100 tasks a month and two-step Zaps. We size your flow against those ceilings in a written usage estimate; a paid plan, if you ever need one, is in your name at your cost and only by your choice.
Does automation replace my team's follow-up?
No. Automation captures, organises, and reminds; people still talk to customers. In every flow we build, the follow-up draft is human-approved before sending — automation prepares, people send.
Can you build us a fully custom CRM?
Not currently. For most small businesses a configured CRM covers the real need at a fraction of the cost and risk of custom development. If your process genuinely needs custom software, we will say so plainly rather than sell you a configuration dressed as one.
What happens to our existing contacts and data?
They stay in your accounts. We import an agreed sample first to validate the pipeline structure; bulk entry of historical records beyond the agreed sample is outside standard scope and is quoted separately if you want it.
